How can we fix duplicate entries in transactions making my cpa's job very tedious when she attempts reconciliation. What can we do to prevent this?

Hello there, artisanpoolservi. Allow me to assist you with removing or matching duplicate transactions in your QBO account and prevent this from happening again.

 

Before we continue, consider running a report called Transaction Detail by Account since this report provides a comprehensive list of your accounts. You can customize it to show specific relevant data based on your preferences. By doing so, you can review the transactions in your account and identify any potential duplicate entries.

 

After finding the duplicate transaction, you can either Exclude your transaction or Match it with any existing transaction in your QBO account. If the transaction is already categorized, Undo it first before excluding it.

 

Kindly follow these steps:

 

Step 1: Run a report

 

  1. Go to the Report menu located at the left navigational panel.
  2. Click the Find report by the name field.
  3. Enter Transaction Detail by Account or any report you wish to pull up.

 

Step 2: Undo the transactions

 

  1. Go to the Transactions menu, then click Banking Transactions.
  2. Press the Categorized tab if you've already categorized the transaction.
  3. Click Undo.

 

Step 3: Remove or Match the duplicate transactions

 

  1. Go to the For Review tab.
  2. If the transaction says suggested match, click Match.
  3. If you’re certain that you need to exclude any transactions, mark the duplicate transactions you want to exclude.
  4. Click Exclude.

 

To prevent this from happening again, it’s best to review whether the downloaded or imported transactions match the transactions in your QBO account.
