Unable to merge two bank accounts! Never get the prompt to Merge...

I downloaded about 1000 transactions that were important and it accidently opened another account. It's all deposits, all today. I really don't want to have to change the account on each of these manually. Each time I try to merge the accounts, it tells me the account already exists. It's so frustrating! Never once did it ask me if I wanted to merge the accounts... only that the account already exists an I need to pick another number. How do you go around this?

Thanks for reaching out to the Community for support, @DirofFin19. I'm happy to lend a helping hand with merging your bank accounts in QuickBooks.

The system won't let you use the same bank account name twice. If you want to use the same name, you can add either a number or a special character to differentiate it from the other.

Also, QuickBooks uses some accounts as the default for certain features. These, like accounts connected to online banking, can't be merged or deleted.

Then, you can now merge the two accounts. Keep in mind merging accounts is permanent and you can't undo this later on.

  1. Choose Accounting on the left menu and click on Chart of Accounts.
  2. Look for the account you want to keep. Then, click the drop-down arrow next to View register and select Edit.
  3. Note the Save account under (Account Type), Account name (Name), and Tax form section (Detail Type) of the account.
  4. Check if the account is a subaccount or parent account.
  5. Change the account name and click Save.
  6. Choose Yes to confirm the merging process.

I'll add this article as your reference in merging information in QuickBooks Online, including vendors and customers: Merge Accounts, Customers, and Vendors.

Once done, you can now categorize, match, or add the transactions to the bank register.
