Question

Unfortunately I had a credit card payment returned. I'm wondering how to categorize the initial payment transaction, along with the returned payment. Thanks!

I know how you can record your initial credit card payment and returned transaction, userloveisinthehair. I'll guide you through in completing the process.

There are multiple ways to record credit card payments in QuickBooks Online (QBO) to keep track of your expenses. In your case, I'd recommend writing a check to record the initial payment and then entering a reversing journal entry for the returned transaction. If you find any of these procedures tricky, please don't hesitate to consult your accountant to help keep your financial data accurate.

To write a check, here's how:

  1. Go to the + New button.
  2. Under Vendors, select Check.
  3. In the Payee field, select the (vendor's name) for the credit card payment.
  4. In the Bank Account field, select the account from which the payment will be made.
  5. Enter the Category details and a payment amount.
  6. Enter notes under Memo (if necessary) and all other needed details.
  7. Select Save and Close.

To enter a reversing journal entry, here's how:

  1. Go to the + New button, then select Journal entry.
  2. Make sure the DateEntry No, and Vendor name are correct.
  3. Debit the checking account for the amount of the returned payment.
  4. Credit the A/P account for the amount of the returned payment.
  5. Select Save and close.

Once you're ready to pay your credit cards, check out this article for the step-by-step guide: Record your payments to credit cards in QuickBooks Online.

Furthermore, I'd recommend regularly reconciling your accounts (monthly) to effectively track your business expenditures and keep your financial data updated.
