Uploading & Categorizing Checks Received

Hello,

 

I have over 75 checks received from customers over the weekend. Is there some way I can format an Excel file (or CSV) to upload the whole batch and also categorize them?

Hello, Tom.

 

There are two ways to upload those customer check into QuickBooks Online. I'd be glad to lay down the details for each one. 

 

The first method is to simply use the Online Banking feature. If you have your bank connected to QuickBooks, you'll want to download those check transactions automatically. Then, categorize, match or add them to your books. 

 

  1. Go to the Banking page. 
  2. Select the bank account (if you have multiple banks connected).
  3. Click the Update button.

 

 

After getting those checks, you can start categorizing them. 

 

If you don't have a connected bank, you can format an Excel file then upload it into QuickBook's Online Banking feature. Here's how:

 

  1. After formatting your file, go to the Banking page. 
  2. Click the Upload transactions button.
  3. Look for your Excel file, then hit Next.
  4. Follow the steps to map your file.

The second method is to use a third-party app. There are a variety of apps that let you upload those checks. You'll want to browse for one by clicking the Apps menu then searching for it. I recommend using keywords such as "Import transactions" or "Check importer."

There are only three fields to populate: date, amount, and description. This doesn't do me much good since I also need to include the ref number (check number). Also, how do I get it so it shows up as "For Review?"

Thanks for reaching back out to the Community and adding some extra clarification. Allow me to give you some additional insight into importing your bank transactions into your QuickBooks Online (QBO) account. 

 

Having a reference/check number field when uploading these transactions can be very beneficial for your business. However, there are only those three fields that are available. You can add the number to the description to ensure the info gets into your QBO account. I'll send feedback to our Product Developers so they can consider this in one of the upcoming releases. They try to collaborate every request that is sent to improve the product for our users. 

 

As for your second question, once you've imported those transactions, they'll show in the "For Review" section of the banking page. Here's a guide that can give you more details: Categorize and match online bank transactions.
