Question

We have 5 months of transactions from last year that just don't show up in Quickbooks. The gap starts on 3/11/23 and ends on 9/5/23. What can I do?

I've tried the basic suggestions like clicking on Update in the bank records but it's like they don't exist. I see them in our actual bank records but QB doesn't have any of the info and it's throwing our books way off.

Welcome to the Community, @jason196. Obtaining your complete number of bank entries is important to ensure the accuracy of your records in QuickBooks Online (QBO).

 

Before anything else, let me share insights into why some of your bank transactions are missing. There are cases where at the time the application starts to upload the transaction, there could be an interruption with your bank connection, such as the following:

 

  • New terms of service
  • Announcements about maintenance or other site changes
  • New offers

 

Since these entries are older than 90 days, these will no longer be available for automatic download. Thus, we can get those transactions by manually uploading them using a CSV file. 

 

We can start by obtaining the file from your bank’s website. To proceed, let's log in to your bank or credit card's website and follow their instructions to download it. Please take note that you may be offered a few file formats, if possible you can choose the QuickBooks Online data (QBO) formatted specifically for QuickBooks Online, but a CSV file will also work.

 

Once you’re done reviewing the file format and size, we can start uploading through these steps:

 

  1. Go to the Transactions menu and select Bank Transactions.
  2. Tap your bank’s tile where you want to upload the file.
  3. Tap the Link account dropdown and select Upload from file.
  4. Hit the Drag and drop or select files and then select the file you downloaded from our bank. Then, click Continue.
  5. Follow the onscreen procedures to match the columns on the file with the correct fields. Then, select Continue.
  6. Select the transaction you’d like to import and select Continue. After that, select Yes.
  7. Lastly, select Done.

 

If you're still experiencing a delay in downloading your latest transactions, please know that most banks start downloading every night around 10 PM PT in QuickBooks. If it’s beyond that, we can start a manual download the same as what you have done previously.
