Is there a way to identify donors (customers) in QBO who are registered as Gift Aided with this charity so that we can produce a spreadsheet for an HMRC GA reclaim?

Our donors include those having Standing Orders and others who donate for one-off visits.

Hello there, shop-throssel. I can help you track donors and run reports for HMRC in QuickBooks Online.

 

First off, let's create an account in your Chart of Accounts. This allows you to record and track the donations.

 

  1. Go to Transaction and select Chart of Accounts.
  2. Click New.
  3. Enter Gift Aid as the Account name.
  4. In the Account Type menu, choose Income and select the appropriate Detail type from the dropdowns.
  5. Fill in the necessary information and click Save.

 

Next, here's how to create a product/service item for a Gift Aid account:

 

  1. Go to the Sales, then Products & services.
  2. Select New.
  3. In the Product/Service information panel, choose the type of service.
  4. Enter a Name for the item, and put a check in the I sell this product/service to my customers box.
  5. Choose the Gift Aid account you created from the dropdown list in the Income account field.
  6. Tap Save and close.

 

Lastly, create an invoice for the product or service to record the income.

 

In addition, there isn't a specific report for HMRC, but you can pull up a Transaction List by Customer report and export it to Excel. You can then customize it according to the HMRC format. Here's how:

 

  1. In the left navigation panel, click Reports.
  2. Type Transaction List by Customer in the Find report by name field.
  3. To customize, click Columns and ensure to click Account (Transaction: Account) in the Reorder menu.
  4. To export, click the Export to Excel option in the Export/Print menu.
