Quickbooks Online - Sales Orders

Hello

We are being forced to move away from QuickBooks Desktop, however, we use Sales Orders which automatically create a Purchase Order and an Invoice. This is an integral part of our business. When QB Online first came out I tried it but the lack of Sales Orders meant it was useless. I was told that they would be in the next update or were being looked at. I can't see that, in the intervening years, Sales Orders have been added to QB Online. Would other users agree with this or suggest other software?

Hello, Vicki at, Welcome to the Community, The Online package does not have sales orders however you can now in QB Online create an estimate which can be converted to a purchase order and invoice from the estimate.

I use 'Estimates' in Quickbooks Online for one of my clients and have edited an 'Estimate' template to show 'Sales Order Acknowledgement' and also 'Proforma Invoice' as the document header instead of 'Estimate' which works well... unfortunately the email sending them out still shows the word 'Estimate' in the narrative (see below) and we've received complaints from customers saying that they want confirmation of the actual price (the word 'estimate' still intimates that the price might change and not what you want when confirming an order).  A work around is to download the document pdf and send outside of QBO but not ideal.  (other suggestions gratefully received!):

Hello Alex17, thanks for posting on this thread, so having had a look it is working as designed there is no way to be able to remove the word estimate, you can leave it as feedback in the main cog wheel, the work around is what you have already said to in which to download it as a document pdf and send it outside of Quickbooks.

I see that this Sales Order "need" is not a new thing.    We just converted from Sage on my accountant's recommendation but this lack of Sales Order is going to be a real headache.

We get annual purchase orders from customers (which would be our Sales Orders) for items.    Using a Sales Order function allows us to see how many of a particular item is remaining to be delivered and if a new order is needed.    I don't think using the estimate as a workaround for sales order will accomplish this inventory control.
Could we just find out if this in the works at least and a timeframe?    If QB is just going to ignore this feature, I will find somewhere else to go.   It would just be nice to know if they are hearing us or not?

Moreover, we can't provide a specific time frame for when this feature will be available as our development team is still working on the program's updates.

 

In the meantime, you might consider using another sales order management third-party app to help you manage your sales orders. You can follow the steps below for your reference:

 

  1. Sign in to your QuickBooks Online account.
  2. Click the Apps tab on the left navigation menu.
  3. Select Find Apps.
  4. Search for a sales order app you want to connect to in the magnifying glass bar or select the Browse category ▼ to search for an app by category.

 

Furthermore, you can set up your inventory tracking to help you easily track your inventory items.

Just absolutely ridiculous QBO doesn't integrate sales orders for a wholesale and or manufacturing package. Do the "programmers" understand how selling inventory goods works? Just a slap in the face of us longtime, loyal customers.

I understand your frustration. I faced the same problem. While QBO has no sales order function, I suggest you try the Logistify AI Assistant. It automates sales order collection and creates Sales Orders and syncs with your QBO Inventory to avoid over-selling. In addition, it will help you automatically create a Purchase Order and a Sales Invoice from your Sales Orders and sync them into your QuickBooks Online.

After four years of waiting, the implementation of Sales Orders is utterly inadequate. The lack of custom fields, the inability to create packing lists, and the failure to convert estimates into sales orders are all unacceptable. It's mind-boggling that this essential feature has been removed from the online version. This should be addressed immediately, but I am confident it will not be.
