Question

Should I use classes, locations or tags to split income and costs by different teams in a football club?

I am using Quickbooks for the bookkeeping of a football club and I want to be able to report profit and loss by team.  Should I make each team a different class or location.  Some purchase invoices will need to be split across teams.

Hi there, @claireclfinance. We'll share details about how class and location work inside QuickBooks Online (QBO).

The Class and Location tracking feature is a great way to manage income, expenses, or profitability by business segment. If you manage more than one business or team, this feature tracks every transaction seamlessly and gets them to flow when you run a report inside QBO. If you wish to try this feature, we'll gladly write down the steps below:

  1. Go to Settings ⚙ and select Account and Settings.
  2. Select Company, then select the Categories section to edit.
  3. Tick Track classes.
  4. Tick Warn me when a transaction isn't assigned a class. This is optional, but it means that when you look at reports, you know everything's been classified.
  5. Under Assign classes, select One to entire transaction or One to each row in transaction.
  6. Select Save, then Done.

See this page for more details: Turn on class tracking in QuickBooks Online.

Regarding the invoice purchases that need to split across different teams, know there's an option to set One to each row in transaction inside the program. It allows you to have a class field in each line item whenever you create an invoice. For more details, please see this page: Get started with class tracking in QuickBooks Online.
