Closed Companies

I am a bookkeeper for several companies, but I have a couple that have closed.  I use QB online, is there a way to keep the information available without paying the monthly fees?  I guess I am asking if QB has a storage solution.

Intuit will only retain your data for 1 year after account cancellation. You can convert your data to QB Desktop file format and use the trial version of QB Desktop Enterprise to access your historical data for good.

Currently, QuickBooks doesn't have the feature of a storage solution. Once the QuickBooks Online (QBO) subscription expires, you'll only have 1-year view-only access to the company's data.

 

I'll provide you with the info on how you can access the company file even if your subscription expires.

 

If you wish to stop paying the monthly fees while still being able to access the company info, you can export the data before it expires. Here's how:

 

  1. Go to the Gear icon and click Export data from the Tools column.
  2. Select what you want to export. Either Reports or Lists. Then, customize the Pre-selected date ranges.
  3. Once done, click Export to Excel.

Also, you can go to the Chart of Accounts section to export bank transactions from each account. Feel free to follow these steps:

 

  1. Select Chart of Accounts from the Transactions tab.
  2. Find and double-click the account where you placed those transactions.
  3. You can filter the date by clicking the Funnel icon.
  4. Once done, click the Export to Excel icon.
