Can I send an electronic T4 to an inactive employee (previously terminated)?

Send to Employee button is not active. Do I need to change the employee status back to Active?

Hi there, Joseph. Let me share with you some information about sending electronic T4 in QuickBooks Online (QBO).

 

To start with, yes, you can make an employee active temporarily before sending the T4 information. 
 

  1. Click on Payroll at the left pane, then click on Employees.
  2. Select the employee's name, then go to the Employment section.
  3. Update the employee's status from there.

 

Once done, please ensure to verify your company and employee information to avoid issues during the process.

 

When ready, prepare the T4 following these steps:

 

  1. Click on Taxes at the left pane, then Payroll tax.
  2. Tap on Year-end forms.
  3. Select the employee's name under The slip(s) below must be filed for each employee. Also, you or your employee may need to complete some info on the slip(s)—you can view their info on the next screen section.
  4. Click on Employee copy of T4 slip.
  5. Check out the tax period to ensure the Send to employee tab is clickable. If it's not, you can see a label at the right side of the tab as to when the T4 be available.
