How can I view prior year T4 summaries, i only get 2018 and 2019 (current year) as an option from the drop down box under payroll tax, i need to view 2017?

You can always view prior year T4 summaries kkalia and I'm here to help you out.

 

Your past payroll forms are accessible once archived. Here's how to view an archived payroll form:

  1. From the left menu, select Taxes, then Payroll Tax.
  2. Under Monthly Forms or Annual Forms, select View Archived Forms.
  3. Select the desired form.
  4. Select View.

The available liability periods only extend back for a year or two. If you need to archive a form from an earlier period, I'd suggest reaching out to our Payroll Specialists for assistance. Just select your QuickBooks product and choose your Payroll topic. Then, click the Start a Message tab at the bottom.

This doesn't work on Quickbooks Desktop

Hello kokoli84,

 

It's important to me that you're able to find the T4 information for your employees in your QuickBooks Desktop company file. I'm happy to clarify the steps for that version of the program since, as you've noted, it's operates differently than QuickBooks Online.

 

There are a couple ways to access the T4s in QuickBooks Desktop. Luckily, both are simple and I'll outline each of them so you can choose whichever you prefer.

  1. Select Employees from the top menu.
  2. Hover over Payroll Forms
  3. Choose Process T4s.

Way number 2 goes like this.

  1. Select Employees from the top menu.
  2. Choose Payroll Centre.
  3. Click the File Forms tab.
  4. Double-click to select T4s.

Once you've got the T4 window open, regardless of which method you're using to get there, you can choose from the Year drop-down menu to see the forms for that period. The following article goes over these forms and their related processes in more detail: T4 and Relevé-1 forms
