It's great to see you here in the community for QuickBooks, Matthew.

 

I can share the insights on how you can get started with processing payroll in QuickBooks Online.

 

To process a pay run within the program, you will need a payroll subscription to do it. Check out this link and scroll down to learn more about our available payroll services you can avail and its updated pricing: https://quickbooks.intuit.com/ca/payroll/

 

Once you have a subscription with us, set up your payroll information. We need this step to ensure the system calculates the taxes correctly on paychecks and returns. See this link to get started with Payroll.

 

Once you have your payroll account, follow these steps to add the W-2 employee:

 

  1. On your QuickBooks Online account, go to the Payroll menu.
  2. Go to the Employees tab, then Add an employee.
  3. If you want the employee to add some of their own info, enter the following in the Personal Info section:
    • First and last name
    • Hire date
    • Email address
    • Check the box for Ask this employee to enter their personal info, paycheque preferences, and TD1 forms with QuickBooks Workforce.
  4. Enter the info in each section, then select Done.

Now that everything is set up, you can start processing payroll. This link has all the manual and visual steps to create paychecks for your employees: Process or run payroll

 

QuickBooks also has this option to track this employees paycheck, if you don't have a payroll service, through manual payroll processing. Please note that this will only keep a record of an employee's transactions but not calculate the tax automatically, nor it will generate tax forms for you.
