Question

How do I set up QB online for my remote assistant so that she can get the passcode sent to her phone instead of mine?

Currently, she has to use my password to get in but the code is sent to my phone. Is there a way to set her up as a separate user or something because we both need access.

Hi there fireyourdevs,

Welcome to the QuickBooks Community! Using QuickBooks Online makes it easy to work on your books from any location or device with an internet connection. I'll help you set up your assistant as a user so that when she needs to access your books, she can do so with her own username and password. She'll also be able to use her own phone number for receiving security codes. It's a simple process.

To add a new user to your QuickBooks Online account:

  1. Click the Gear icon in the upper right corner.
  2. Under Your Company, select Manage users.
  3. Hit the green Add user button.
  4. Select the type of user you'd like to add and click Next.
  5. Enter the user's contact info. The email you enter will act as their user id and is where their user invitation will be sent.
  6. Click Save to invite this user to your QuickBooks account.

Your assistant will receive an email inviting her to use QuickBooks. This email includes prompts to set up unique password. Once that's complete, she'll be able to work on your company from her own user profile by navigating to www.qbo.ca from a browser or by using our desktop or mobile app. After she creates her password, she can manage her account info and update her phone number for multi-factor authentication by going to accounts.intuit.com.

Each version of QuickBooks Online is slightly different when it comes to user types and permissions. For more information on what your version has to offer, check out this article: User types and user permissions in QuickBooks Online.

Adding your assistant as a user to your QuickBooks Online will be a breeze! Wishing you all the best.
