I want to share some insights on how you can migrate your payroll data from QuickBooks Desktop to QuickBooks Online, @spkian.

Just to set your expectation, there is no direct way to move payroll data from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). However, there are alternatives you can try.

Right now, you'll need to enter the pay history of the employee to QuickBooks Online Payroll manually. This way the employee's YTD is accurate and the taxes on the paycheck you will be processing in the future are deducted correctly.

You can also do the regular migration process by exporting the payroll data from QuickBooks Desktop into a .CSV file.

The best way to get your clients payroll data would be running a Payroll Summary Report. Just go to Reports > Employees & Payroll > Payroll Summary. Once the report is open, it's as simple as following these steps to export it to .CSV:

1. Tap the Excel drop-down at the top of the report.
2. Select Create New Worksheet.
3. On the Send Report to Excel window, select Create a comma separated values (.csv) file.
4. Press Export.
5. Assign a file name, then choose the location where you want to save the file.

Once you have the data, format the information and fields following this sample file. Then you can start the import process using these steps:

  1. Go to Settings ⚙️, then select Import Data.
  2. Select Journal Entries.
  3. On the Download page, select Browse.
  4. Locate and select your CSV file.
  5. Map your information.
  6. Press Next, then Start import.
  7. Click Done.

Another option is using a third-party app that would help you move your Desktop payroll data into QBO. Use this link to search for migrator apps that works for you: https://desktop.apps.com/home

Please let me know if you have any other questions about this payroll data migration process. I'm always here to help. Have a great day!
