Question

I submitted T4's for all of my employees and now only 1 out of 4 employees received them, how do I find the T4's I submitted and why did this happen?

I submitted T4's on February 21st and all employees said they could see the T4 - I even electronically submitted them to CRA. Now I cannot find 3 of them on my Quickbooks workforce. Help!

It's concerning that the T4s for your employees are missing from your QuickBooks Workforce. Let's tackle this step by step, krystakernohan.

 

Let's confirm that all T4 forms were successfully sent to the CRA by logging into your CRA account and checking the submission status. Then, ensure that the submission was received and approved by the CRA. Additionally, verify that all employee details, including social insurance numbers and addresses, are accurate and up to date in QBO, as inaccuracies can lead to processing issues with the T4 forms.

 

It's also possible that notifications regarding the T4 submissions and their status were emailed to you by either QBO or the CRA. Be sure to check your inbox, including your spam or junk folder, for any messages explaining why the T4s are missing or failed to process properly.

 

If the same thing happens, we can delete and recreate the T4s and send it to QuickBooks Workforce again. Here's how to remove the T4s from the archive :

 

  1. Go to Payroll and select Payroll Tax.
  2. Select Filings and then Archive.
  3. Click the dropdown menu on T4 Employee Slips and tap delete. This will remove the forms from the archive and let you re-create the T4s.

 

Once done, let's recreate them. Let  me guide you on how:

 

  1. Go to Taxes and then Payroll tax (Take me there).
  2. Select the Filings tab.
  3. Choose Review for T4 Summary under Action needed to make sure the aggregated amounts are correct. Tap Next to continue to the next screen.
  4. Under T4 Employer Slips, click Preview to make sure the amounts are correct, and then download the XML file that needs to be uploaded to the CRA website. Select Next to continue to the next screen.
  5. Under T4 Employee Slips, tap Preview to save or print the employee copy of the T4 slips to send to employees.
  6. Hit Record filing to continue to the next screen.
  7. Under Send to Workforce, select the employees that you would like to send the T4s to through Workforce and select Submit.
  8. Press Done to finish.
