Question

I terminated an employee due to shortage of work and now he is back with us but with a lower pay. What is the proper procedure to make him active?

Hello firminabatement,

It's great to hear that you're able to bring your employee back on for your company! Making sure that they're set up again with the correct details is important, so I appreciate why you'd ask this before diving into working with the employee information in your books again. I can absolutely show you how this is done when using QuickBooks Online Payroll.

When you have an employee that you need to rehire, it's as simple as going into the Payroll module, making them active again, and changing the details you need to reflect their new wage and other information. I'll walk you through it step-by-step so you can see how to go about this.

  1. Select Payroll in the left menu.
  2. In the Employees section, choose the drop-down menu where it says Active employees and change it to Inactive employees.
  3. Select the name of the employee in question.
  4. Click Edit employee.
  5. Go to the Employment tab.
  6. Change the Status menu to Active.
  7. Enter their new hire date. (Note: This is the date you're bringing them back on, not their original hire date.)
  8. Change other details on that screen as needed.
  9. Switch over to the Pay tab.
  10. Find the question How much do you pay [employee]? and click the pencil icon.
  11. Enter their new wage and pay type details as needed.
  12. Click Save.
  13. Edit any other sections as needed.
  14. Click Done to save the employee profile.

Once you've gone through that, the employee should be back in your Active employee list with their new wage so that you can start running payroll for them again. Here's a helpful payroll resource for your reference: QuickBooks Online Payroll help article hub

Don't hesitate if you have further questions while going through this process. I'm here to help however I can. :)
