Question

Is there anyway we can continue working with open PO's that have a date part of a closed financial period? Ex. PO Date = Mar 05 2021 with Mar 2021 being closed.

Hi ursula-plasticba,

 

Sometimes it's necessary to make changes to transactions in a closed financial period. Don't worry, I'll be happy to look into this and provide the support you need. QuickBooks provides the flexibility you need to easily keep track of your transactions and bring your financials into focus. 

 

The program allows you to make changes to transactions in a closed period. You'd have to edit the transactions the same way you'd normally edit your transactions. You can also keep track of the transactions you edit after a closed financial period using the Exceptions to Closing Date report. 

  1. Select the Reports tab.
  2. In the search field, enter Exceptions to Closing Date and open the report.

Hi James,

 

The only way I can currently make changes to a PO, even if I simply need to attach a document, is by having the password available to enter.  If I don't have the password available that protects the closed period, QBO does not allow me to make the changes.  For PO's, no financial transaction involved, is there a way we can continue to add documents, update the PO information, in a closed period without having to know the password.  If so could you provide me the setup steps required to do so?  The exception report is great but that does not resolve my question around QBO functionality.  Thank you!

I see what you're saying. You'd need the password in order to make changes to closed books. Since you don't have the password available, you have the option of changing the password so you can make the necessary adjustments. If you'd like, you can also change the closing date and password using the steps below:

  1. To get started, make sure you're logged in as a primary admin or company admin. It's important to note that only admins can make these changes.
  2. Navigate to Settings ⚙ and then select Accounts and Settings.
  3. Click on the Advanced tab.
  4. Hit Edit ✎ in the Accounting section.
  5. Change the closing date. Note: To change your password, just enter a new password and confirm it.
  6. Select Save and then Done.
