QB Desktop and monthly payroll service

I understand that a monthly subscription is now required for QB Desktop payroll service.  We have a third party create our payroll each month, and then manually enter the details from the reports provided by the payroll provider into QB.  If we cancel our payroll service with QB, will we still have access to the payroll information, but just NOT have access to updated tax tables? I don't need the tax table information as the payroll provider does this.  I just want to continue to enter the payroll details into QB.  I hope that makes sense!  Thank you!

This is a great question. You're right, to work with QuickBooks Desktop's Payroll add-on service, a payroll subscription is required to ensure that you have the most up-to-date payroll information. This subscription also gives you access to the Payroll module in the program, and I can go over what happens if you cancel that payroll subscription.

 

To ensure you have access to the Payroll module under the Employees section of the books as well as payroll forms, reports, and otherwise, an active payroll subscription is necessary. Without a payroll subscription, you can still enter employees, but you won't be able to create pay cheques, work with the payroll liabilities feature, create payroll forms, or run payroll reports in the software.

 

This may impact how you're currently entering your payroll data that you've run in the other software, so I recommend reviewing your method to see if you'll be able to do so without the payroll module.

 

I've also go a couple of other resources you can consider. In QuickBooks Desktop, there are a number of help articles, including one called Process payroll manually (without a subscription to QuickBooks Desktop Payroll). If you'd like to review that article, here's how you can pull it up.

  1. Select Help from the uppermost menu in QuickBooks Desktop.
  2. Select QuickBooks Desktop Help.
  3. Choose Help, then Search.
  4. Use keywords like "manual payroll" and hit Enter on your keyboard.
  5. Click the article to read it.

Another option is to check out the apps available for QuickBooks Desktop that may be able to connect the third-party program you're using to the software to bring in the information.
