Question

Quickbooks Online payroll fee per employee per month -- is this based on if they are simply listed in QBO or if they were paid in that month?

We have employees that are on our roster all year round but only are paid during a few months. Are we being charged for these dormant employees? Do I have to go through making them inactive and reactivate as needed? OR ... does QBO see how many employees you paid in that month and based it on that?

Hi ScottKee,

It's a pleasure to see you in Community.  Welcome!  It's important that you have the information you need, for QuickBooks Online Payroll.  I'd be glad to help!

In addition to your monthly QuickBooks Online Payroll fee, you'll see the current per employee fee.  The employee fee is charged for active employees, who are included in the pay run, during the monthly billing cycle.  You can view your monthly statement by following these steps;

1. Sign in as a primary admin

2. Open your Settings ⚙, then Account and settings

3. Select the Billing & Subscription tab

4. Click on View payment history

If you have any other questions, please don't hesitate to reach back out.  We're always happy to assist!

Thank you -- so based on those actually paid not just listed in Quickbooks.

(There isn't a breakdown as to how the fee is calculated in payment history -- just a list of totals.)
