Setting up payroll for first payroll run - historical info in but need to set two employess to inactive, how can I do this?

QBO support agent had to do this for me earlier, is there a way I can do it myself?

Hi Wendy10-2021,

 

It's a pleasure to see you in Community.  Welcome!  QuickBooks Online Payroll is a dynamic way to pay your staff with confidence!  Changing the status of an employee can be done seamlessly.  I'd be glad to assist!

 

Here's how to make an employee inactive;

1. Select Payroll from the left menu and then Employees

2. Click on the Employee's name

3. Open Edit employee or select the Edit ✎ beside the Employment field

4. Use the ▼ dropdown menu to change the Status

5. Complete the required fields 

6. Hit Done 

Note;  If you don't see the the option noted in step #3, it's because you haven't completed a pay run yet.  However, you can proceed to process a 'mock' pay run so you can accomplish your QuickBooks goals from your end, and save valuable time.

 

Follow these steps to run a 'mock' payroll;

1. Go to Payroll > Employees, then select Run payroll

2. Select a pay schedule, then Continue

3. Select the employees you want to pay (you can do this for just one employee)

4. Change employee's pay method to Paper Cheque

5. Enter Hours worked

6. Select Preview Payroll

7. When you're ready, select Submit payroll and then Finish payroll.

 

Now you'll need to delete the 'mock' pay cheque.  Here's how;

1.Go to Payroll and select Employees (Take me there)

2. Under the Run payroll button, select Pay cheque list

3. Select the cheque to delete and click Delete

4. When prompted to confirm the action, select Yes 

You should now see the available options as noted in how to make an employee inactive in the steps provided above.
