Vacation paid out

I use Quickbooks Premiere 2023.

I pay out vacation with each pay.  When hourly workers take vacation they do not get paid, easy.

How do I handle vacation for salaried workers when they take time off?  I do not use time data to create pay cheques for salaried workers.

Hi Riina,

Welcome to the Community. Being able to run payroll is essential to ensure that your employees get their pay. QuickBooks Desktop is a flexible program that simplifies the way you manage your books. I'd be glad to point you in the right direction on vacation pay for salaried workers.

I'd encourage you to refer to the following steps regarding vacation pay for salaried workers.

  1. From the QuickBooks Desktop menus, select Lists, then Payroll Item List.
  2. From the Payroll Item drop-down, choose New.
  3. Select Custom Setup. Then Next.
  4. Select Wage. Then  Next.
  5. Select Annual Salary. Then Next.
  6. Select the type of pay. Vacation Pay and Sick Pay are each specific options. All other types of pay should be entered as Regular Pay.
  7. Select Next.
  8. Enter a name for the salary item that easily identifies it. For example, if you want to track officer wages separately from other employees, enter a name such as "Officer Salary".
  9. Select Next.
  10. Select the expense account used for tracking wages. Then select Finish.
  11. If necessary, repeat these steps to enter other salary items.

You can then add the new payroll item to the employee's setup so that it automatically shows when creating paycheques.

  1. Go to Employees on the menu bar.
  2. Select Employee Center.
  3. Double-click on the employee's name.
  4. Select the Payroll Info tab.
  5. Under the Earnings box in the item name columns, select on a blank area.
  6. From the drop-down arrow, select your Salary Item. Then enter the employees annual salary.

If you'd like to pay out the annual salary every two weeks, you'll need to manually calculate the amounts so they can get paid. In case you have other questions, I'd encourage you to contact our customer support team using this link here
