Question

When I did payroll my checking account balance is different in quickbooks than my actual balance by the amount of the paycheck. Why is this?

Hi userbrag-electric,

 

It sounds like you have a sharp eye for these kinds of details, and it's good that you've noticed this soon after running your payroll in QuickBooks Online's Payroll module. I've got an idea of what may have happened and can help you get back on track with running payroll in the program.

 

When you run payroll, the program allocates the amounts to various accounts for things like expensing, taxes, and just the wages in general. The first time you run payroll in the program, the module asks you what bank account that payroll will be posted to. If you chose something other than your bank account at that time, that's why the amount in the chequing account in QuickBooks Online is different than what you're seeing outside of the software.

 

What I recommend here is checking the mapping setup for your Payroll module. It's pretty simply and just takes a few steps.

  1. Select the Gear icon.
  2. Choose Payroll settings.
  3. Click Accounting under the Preferences section.
  4. Review the mapping, in particular for the Bank Account section.
  5. Make changes as needed.
  6. Scroll down and click OKto save the changes made.

Now, this'll make sure that your future pay runs are going to the bank account you'd like. As for the one you've already completed, you can transfer the funds from one account to another and make the account they were in inactive if you'd no longer like it. There's also the option to merge the two accounts, but I only recommend this option if you don't have other data in the unwanted account you don't want also merged over. These articles can help.
