Why does QBO think I already have a GL number used when I have not?

I am trying to add a GL number for an account in my chart of accounts. I get this error: Another account is already using number 1821. Please use a different number. I have not used GL 1821 on any other account in my chart of accounts.

Hi ivanjankovic,

Having the option to add numbers in your GL is a great way to identify accounts at a glance.  QuickBooks Online recognizes these and easily determines if a possible duplication of accounts is in process.  Based on the information you've provided, it seems that there's an account that's been made inactive and hidden from your view.

Here's how to locate an inactive account:

1. From the Chart of Accounts, click on the small Gear above the action column

2. Check the box to Include Inactive

When you locate the account you'll have the option to make it active to prevent the need to add it as new, or you may want to review the account history and remove the existing number by clicking on Edit from the drop-down arrow in the Action column.  This should get you moving forward with your day!

If you have any other questions, please feel free to reach out.  We'd love to help!
