I have an ongoing monthly rental business and have a client that wants to pay a year in advance. How do I set up this as ongoing monthly recurring transaction

Thanks for your interest in recurring transactions in QuickBooks Online! Available in Essentials and Plus subscription packages, this is a great way to add automation to your books so you have less manual entry to worry about when recording transactions. I'd be happy to go over this feature with you.

 

Recurring transactions are useful for automating sales receipts, invoices, bills, and other types of transactions. It cannot, however, be used to automate payments received against invoices or bills. How you can record the client payment in advance is going to depend on how you'd like to enter the transactions in your books.

 

For instance, if you were to enter the client payment as a sales receipt each time, you can absolutely set up a recurring sales receipt. However, if you set it up as an invoice and receive partial payments against the total each month, then recurring transactions won't work in this instance. I recommend touching base with an accountant to determine what the best method is for your books and managing they payment in advance for the year. The My Accountant tab comes in handy when working with an accountant and QuickBooks Online. The tab has the option to invite your accountant via email to work with you directly in your books or you can use the Find a pro to help button to find a QuickBooks expert near you.
