Question

Why do tags max out at 300? What are the alternatives to tags? I need to track thousands of 'group IDs' in my business. I need to see revenues/expenses by 'group ID' tags

I've already maxed out at 300 tags and need a solution to be able to track 'group ID' another way. Is there a Job Costing feature in QB Online that can do this? Is there a custom field feature (that I can pull reports based on) in QB Online that can do this?

Hi there smallbusinessaccounting,

It's great to have you join us again in the QuickBooks Community, and I hope things have been well since your last visit. I can see how the Tags feature has helped you organize your data, but when there are only so many available and you need more, that can cause some roadblocks. I have a couple of suggestions for you.

Since you mention you're looking for a job costing feature in QuickBooks Online, it sounds to me like you're currently using tags to organize different job data. In this version of the program, the Projects feature is what you can use for job costing. This feature, available in QuickBooks Online Plus, gives you the opportunity to group invoices, expenses, hours, and more of a job together in one place, and there are even reports you can run to see the data. Here are some articles about it.

Those should get you started with some information about this feature. If you're not already using QuickBooks Online Plus and would like to upgrade, here's how you can do that: Upgrade or downgrade your QuickBooks Online subscription

If that feature doesn't quite meet your needs, another option you can consider is checking out third-party apps for project management that sync with QuickBooks Online. The Apps tab has apps you can search through to see if there's a good fit for you. Each listing should include a description of how it works, contact details for the app support team if you have more questions, and potentially even reviews from others who've used it to.

As for tags maxing out at 300, QuickBooks Online does have some limitations, and this happens to be one of them. What you can do is submit your feedback to our product development team using these steps: How do I submit feedback? This gives you the opportunity to share your thoughts and ideas and have those forwarded to the product team for consideration. Updates to QuickBooks Online are shared quarterly to the following page if you're interested in keeping an eye on that: QuickBooks Online Feature & Product Updates
