Before doing so, are you trying to import invoices as your products? If so, you’ll need to add any new products or services, customers, and suppliers to QuickBooks Online and prepare a spreadsheet containing your invoices.

 

Then, it needs to meet these requirements:

 

  • Each line item needs its own invoice number, customer, invoice date, due date, item amount, and item tax code.
  • Each imported spreadsheet can contain up to 1,000 rows.
  • You can import a maximum of 100 invoices at a time.
  • Negative charges, like discounts or credit notes, cannot be added.

 

If you're importing new customers without setting their correct currency, QuickBooks will default to using $. If you have multicurrency turned on, you can import invoices in different currencies.

 

Here's how:

 

  1. Go to the Gear icon and click Import data.

  2. Select Invoices.

  3. Click Browse and then find and select the spreadsheet for your invoices.
  4. Click Next.
  5. Follow the on-screen instructions to map the columns.

 

However, if you're trying to import products and services, ensure that you follow the formatting tips below:

 

  • Product/Service Name: 100 character limit. Avoid special characters. See the approved characters list for more info.
  • Income Account: Subaccounts cannot be used.  
  • Quantity as of Date: Format like this: MM/DD/YYYY or DD/MM/YYYY
  • Income and Expense account: You can't use subaccounts.

 

Once you import a list, you cannot undo it. You can only import up to 1,000 rows at a time. If your list is larger than this, break it into smaller files.

 

Here’s how to import your file:

 

  1. Go to the Gear icon and select Import data.
  2. Select Products and Services.

  3. To upload an Excel or CSV file, select Browse to upload the file from your computer. Choose the file, and then select Open.
  4. Click Next.
  5. Follow the on-screen instructions to map the columns.

  6. If you see some cells highlighted in red, this means the cell is invalid. Check the cell in your spreadsheet and try importing again.
  7. Click Overwrite all values for each product or service with the identical name to replace details of existing items in your account. Make sure everything looks correct because this can't be undone.
  8. Click Import.
