We appreciate sending a request to add custom fields on a bill template, CFO Hire.

There's no specific time frame when the custom fields will be added when creating a bill transaction. At this time, you can only customise your invoices, estimates, and sales receipts to add custom fields on it.

As a workaround, you can use the Memo field or the Description column to add some notes in the transaction.

I'll also personally share your product suggestion to our engineers about customising the bill template.

I have articles here about managing bills in QuickBooks Online (QBO):
Just reply to this post if you need anything else with creating bills in QBO. I'm here to help.

Hi,

We can add custom fields to a PO, but not on a Bill.

Hopefully its moving.

Hi there, @Q-B Online User 1.

As of now, there's no update on when this feature will roll out in QuickBooks Online (QBO). You'll want to visit our QuickBooks Blog page to learn some news and what's new in QBO.

In the meantime, you can consider the workaround provide by my colleague RCV to use the Memo or the Description field to add notes in the transaction.

Also, you might want to check this article for reference in case you want to learn how to customise your invoice in QBO: Customise your invoices, quotes and sales receipts in QuickBooks Online.

Don't hesitate to leave a comment below if you have other questions or concerns with your QBO account. The Community is always here to help. Have a great day and more success in your business!

There used to be a field that I used all the time and now it is gone.  I am sick and tired of QBO doing updates and getting rid of fields that were once used by some of us.  I would NOT recommend QBO to anyone.  The field was 'customer' which I used to track UPS expense to specific customers.  Now it is gone.

Thanks for joining on this thread, @MLH114.

To ensure I can provide a timely resolution, I need more details about your concern? Are you referring to a custom field on an invoice or to a bill?

If it’s for an invoice, let’s go to the Custom Form Styles page to add it. Here’s how:

  1. Go to the Gear icon at the top and select Custom form styles page to view the All lists page.
  2. From there, choose the invoice you’re working on and then hit the Edit link to access the Content tab.
  3. Another page will open where you can click the template’s header.
  4. This action will show the Custom field link.
  5. Click on it to add another field box and then type in the name.
  6. Press Done menu button to view the changes.

However, if this for a bill, the functionality to customize it is unavailable at this time. As mentioned by my peers, we’ll send feedback about this feature for consideration in a future enhancement.

To keep in the loop for the latest news and product releases, I invite you to visit the QuickBooks Resource Centre. You’ll also see articles to help manage the business efficiently.

If there’s anything else I can help you with, click the Reply button and post a comment. I’ll get back to assist further. Have a good one.

This is very important feature that we are also waiting for a while.

What is ETA?

We use an outside source for bill paying.  I would love to have the ability to add the same lists options to bill template as the sales invoice has.  Also, would like the ability to have the option of add the new list items to any report.  Sometimes the reports are limited to what you can add.  I would love to match revenue and COGS of items in a report.

Hi Lumiousacct,

Ideally, the process of making a payment of your bills in Quickbooks Online (QBO) is by clicking the Pay bills online drop-down list. Are you trying to make partial payments for your bills? You'll want to, select the Make payment option to enter a partial amount for your payment. Let me walk you through the steps.

  1. Go to the Expenses tab, locate for the transaction.
  2. Click the Pay bills online drop-down arrow, then select Make payment.
  3. Enter an amount under the Payment column.
  4. Click Save and close.

Also, you'll have to add new items in your transaction so it would reflect it in your reports. You can also run and customise reports based on how you want it to show: Customise Reports In QuickBooks Online.

Let me know if you're referring to something else. I'll always be around to help.

Our company tracks by projects utiilzing outside system.  I added Project ID to customer invoices.  I'm able to add Project ID to reports to get informtion.  I would like to add Project ID to bill template.  Currently, our company utilizes Bill.com and QB syncs with Bill.com.  It would be get to pull the Project ID from Bill.com into Bill template in QBO.  Then have the ability to run reports on Project ID.  I would to be able to run invoice on Project ID and corresponding bill with same project id.

April 17, 2020

I'll help you add the Project ID in your bill template, @Lumiousacct.

The option to create a bill template that you can use when paying a vendor is unavailable in QuickBooks Online (QBO). However, you can use the Memo section to add the Project ID manually.

If you're referring to a bill template that you can use when sending an invoice, we can customize your invoice and add another custom field for Project ID. Let me show you how:

  1. Click the Gear icon and select Custom Form Styles.
  2. Choose the invoice template that you wanted to edit, then go to the Content section.
  3. Click the Pencil icon on the upper section of the invoice template.
  4. Select the Custom field in the lower section of the page.
  5. Enter Project ID, then make sure the box is selected.
  6. Click Done.

Once done, you can now create an invoice and manually add the Project ID details. You can also open an Invoice List report and customize it to view the Project ID. Here's how:

  1. Go to Reports and search for the Invoice List report.
  2. Click Customize and select Filter.
  3. Check the Project ID box and click Run report.

That's it! Please let me know if there's anything else I can do to be of assistance. Stay safe.

Thank you for your response.  I'm already utilizing the custom field in sales invoice template.  I'm would like to have a custom field in bill template. So from your comment below, I manually will need to go into each bill and enter the project number.  That is time consuming.  Thank you again for your time.

Custom fields on a bill would be very helpful. I currently have to use the memo/description fields and take the information to excel in order to pull out the information I need. It takes hours to do something that could take minutes. Any update on adding custom fields to bills?

I can see how you want a field to be added to a bill. To make sure we can do this, I'm here to provide you with some information and guide you on how, kmepeco.

For now, the ability to add custom fields to bills is unavailable. In the meantime, you can continue using the memo field to add any useful information about your transaction. You'll want to go to our Customer Feedback page to check if a request has already been submitted. If not, you can send feedback to let our product team know how this feature helps your business.  Normally, implementing these requests will depend on the number of votes that we received.

Furthermore, QuickBooks Online provides you the tools to create attractive, professional-looking invoices, estimates, and sales receipts. Learn how to customise the appearance and layout of your sales forms. I've added this article for your guide: Customise Invoices, Estimates, and Sales Receipts In QuickBooks Online.

Moreover, if you've already paid for a business expense, follow this article on how you can record payments toward a bill. Please check out this article: Enter Bills and Record Bill Payments In QuickBooks Online.

Thanks for joining this thread and allowing us to help you with this billing concern, @mosibk.

Before anything else, can you please confirm if you're using QuickBooks Online or Desktop? This will help me find more options for you.

If you're using QuickBooks Online, the option to customize bill templates is not yet available in the system. Only sales forms templates can be edited for now.

For now, you can use third-party billing solutions that allows modifying templates for QBO entries. Visit this page to find apps that works for you: https://quickbooks.intuit.com/app/apps/home/

Please know that the changes in the program are released based on several factors, so we welcome product suggestions to help improve our products and services. We're unable to provide the turnaround time on when new features are released in QuickBooks since they are handled by the Developers Team.

While the feature you're looking for is not yet available in the program, I encourage you to add a product suggestion for our developers.

We wanted to learn more about your business needs. Please share your feedback in QuickBooks through these steps:

  1. Click the Gear icon and choose Feedback.
  2. Enter your suggestion for our engineers on the Feedback box.
  3. Once done, press Next to send it.

If you're using QuickBooks Desktop 2022, you have the option to customize bill payment stubs but not bills. You can do that by going to the Lists menu and select Templates. Just like QuickBooks Online, you can find third-party apps to do what you want. Visit this link for QBDT App Center: https://desktop.apps.com/home

To be updated with the recent and upcoming changes for all our QuickBooks products, visit these sites:

We have desktop and would like to know if it's possible to add custom fields to the Bill template.

This should be a feature available if not already.  Looks like a lot of people have the same request.

Please advise.

I can see how difficult this has been, @eb31. I know how beneficial it is to have an option to add custom fields to the bill template in QuickBooks Desktop (QBDT). And I'm here to provide information about this.

In QBDT, you can only create custom fields for the name lists in your company (customer, vendor, employee), product, and service details. Then, later add it to your sales forms and reports. The option to add one to a bill template is currently unavailable.

As a workaround, you can use the Memo and Description fields to add additional details in the Bill form. Please refer to the screenshot for visual reference:

On the other hand, you can use third-party apps that help you customise the bill template. For a list of QBDT compatible apps, feel free to visit this site: Apps for QuickBooks Desktop.

I also recommend visiting our Firm of the Future page to be aware of updates and recent news about the program.

If you have additional questions about this, please add a comment below. I'd be glad to chime in and provide answers to help. Have a great week ahead and take care.

As important as adding or using custom fields.. also nice to remove fields and columns users don't use.. like in your Screen shot example.. we don't use the columns; Class, Customer/job, nor Billable?...  So why do I have to re-size the screen every time I'm viewing it?  Why can't I just remove them via "Customize Columns"?

October 28, 2022

Has this feature for adding a custom field, such as PO number, to bill entry template?

October 28, 2022

Thanks for joining this thread, @hjfa-lw.

At this moment, the option to add custom fields to the bill template is unavailable in QuickBooks Online. I recognize how convenient this feature is in managing vendor forms. You may consider using the memo or description field as a workaround to enter the needed info.

QuickBooks developers always search for ways to improve user experience by promoting helpful and efficient features and functionalities to streamline processes that suit your business needs. By this, I recommend sending feedback so they can determine what features to be added for future enhancements.

Here’s how:

  1. Go to the Gear icon at the top, then select Feedback.
  2. Enter your comments or product suggestions.
  3. Click Next to submit.

In case you want to know our latest news and updates this October 2022, feel free to visit our Firm of the future page. This provides more information on all incoming and current events.

Please don’t hesitate to reach back out if you have any other questions or concerns besides adding a custom field in bill templates. The Community team is always here to help. Take care!

Are we ever going to be able to customize Bill template? Yes or no would suffice. This question has persisted for years with no definitive answer from QB team.
