Question

Can I run invoice numbers so they can't be changed and run in succession?

I have 5 users all invoicing at the same time.  If they do not save their invoice number quick enough, the number gets taken by another user and they then have to manually enter the next invoice number ahead.  Sometimes they need to change it multiple times to try find the next number available as other users are all still invoicing.

Welcome to the Community, Useraccount50.

Let me share information regarding the invoice feature in QuickBooks Online (QBO).

When using the invoicing feature in QuickBooks Online, we'll follow the sequence given by the software. In your case, whoever saves an invoice will be the one to get the invoice number.

To avoid confusion, turn off the custom transaction numbers feature and manually assign invoice numbers to your users. Here's how:

  1. Go to the Gear icon, then choose Account and Settings.
  2. Select Sales, then click the pencil icon to edit.
  3. Turn off Custom transaction numbers, then select Save.

Once done, open an invoice, then enter the order you desire in the Invoice No. field. It will set the sequence and apply it to all sales forms.
