Welcome to the Community space, Kath. We'll provide information to help you manage invoice payments inside QuickBooks Online (QBO).

In QBO, you can record invoice payments individually using the Receive payments option. If there are no open invoices for that specific customer, the system will save the payment as credit, and you can apply it to your customer's future transactions. We'll outline the steps to get you going:

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, click the + New button and then select Receive payment.
  3. From the Customer dropdown, select the name of the customer.
  4. From the Payment method dropdown, select the payment method.
  5. From the Deposit to dropdown, select the account you put the payment into. A reminder, you can put the money directly into an account, like your current account, or select Undeposited Funds if you need to group the payment with others.
  6. In the Outstanding Transactions section, select the checkbox for the invoice you're recording the payment on.
  7. Enter the Reference no. and Memo if needed. This is optional.
  8. When you're done, select Save and close.

For more details, please see this page: Record invoice payments in QuickBooks Online.

If your customer pays more than what they owe, you can record it as a refund for the overpayment or credit so you can apply it to the customer's future transactions. We recommend checking this page for further guidelines: Handle a customer credit or overpayment in QuickBooks Online.
