Let me outline the steps of how you can import multiple invoices at once into QuickBooks Online (QBO).

 

Before importing, please note the following:

  • You can import a limit of 100 invoices, with a 1,000-row restriction per spreadsheet.
  • You can import invoices with one or more line items.
  • You can also import multiple customers and suppliers or products and services.
  • You're unable to add discounts, credit notes, or negative amounts in general.

 

First, prepare and ensure everything looks good in your spreadsheet. Here's how:

  1. Fill in the required columns: Invoice numberCustomerInvoice dateDue dateItem amount, and Item tax code. If your invoices have multiple line items, ensure each line entry is similar in the sample spreadsheet.
  2. If you collect VAT, enter the VAT rate shown on your invoices into the spreadsheet. You can map the VAT codes you've created into QuickBooks VAT codes when importing.
  3. During the import, you can map each column header to invoice fields. Assess what is required to import invoices. You may also download a sample spreadsheet.

When your customer pays for the product or service, you'll need to record that payment to close out the invoice and balance your accounts.
