My chart of accounts does not reflect the balance in my Sales account when doing an invoice

I'll be happy to help. If you're referring to the columns in the Chart of Accounts, you will only see the QuickBooks Balance and Bank Balance. This will display the figures for accounts like banks, assets, liabilities, etc. For accounts like Sales, you can view the balance by clicking on the Run report link.

 

On the other hand, if no invoices are posted on the sales account, it's possible that the item was linked to a different income account. We can open the Transaction journal of that invoice by following these steps:

 

  1. On the left panel, click Sales > Invoices.
  2. Select the invoice and click the Edit invoice button.
  3. Press More > Transactions journal.
  4. In the Journal Report window, you will see the income account of the item. 

If the account selected is different, you can change it.

 

Here's how:

 

  1. Go to Sales > Products and services.
  2. Click the Edit link of the item you want to modify.
  3. Change the account from the Income Account drop-down. Note: For service and non-stock items, put a check mark on the Also update this account in historical transactions box after step. This updates all transactions that uses the item.
  4. Press Save and close.

Once done, go back to the Chart of Accounts and check your sales balance.
