We have refunded a customer's invoice which was voided. How to adjust this credit balance of the customer in Quickbooks online?

Welcome to the Community, @arora-associates.

Ensuring you'll be able to achieve your goal is my priority.

To help you adjust the credit balance of your customer, you can create a Check or Expense when recording the refund. This will reduce the balance on your bank and will offset your customer's open credit.

The first step is to enter the refund for your customer:

  1. In your QuickBooks Online (QBO) account, click + New button.
  2. Next, choose Expense, Add expense or Check. To proceed with this process, you'll have to switch to the Accountant view first.
  3. Then, on the Expense or Check page, select the customer you want to refund from the Payee dropdown.
  4. In the Payment account dropdown, choose the bank account to where you deposited the overpayment.
  5. Next, select Accounts Receivable. On the first line of the Category column.
  6. Then, enter the refund amount in the Amount field.
  7. Fill out the other fields as you see fit, then click Save and close.

Once finished, you'll now have to link the refund to the customer's credit:

  1. Go back to the + New option.
  2. Next, choose Receive payment.
  3. Pick the same customer you used for the check or expense when recording the refund.
  4. Fill out the other fields as you see fit.
  5. Then, in the Outstanding Transaction section, check the box for the Expense or Cheque you created when recording the refund.
  6. Ensure that the payment is equal to the open balance, then select Save and close.
