Thanks for checking in with us, Belinda.

The option to select customer/project in the ship to column when creating a purchase order is unavailable in QuickBooks Online (QBO). However, we can turn on the Pre-fill forms with previously entered content option for the customer/project (at item detail) to autofill when doing a purchase order. This automatically fills other fields of the form, based on the last saved transaction for that member, vendor, or employee. Here's how:

  1. Go to the Gear icon on the top menu.
  2. Choose Account and settings
  3. Click Advanced and select Automation.
  4. Turn on Pre-fill forms with previously entered content option.
  5. Press Save then Done

We can also directly add the Purchase Order to a project and make it as a recurring transaction. I'd be happy to walk you through how to achieve this:

  1. Go to Projects.
  2. Pick your project.
  3. Choose Add to project to create a new transaction. Then, select Purchase order.
  4. Enter all the necessary information. Once done click the Make recurring tab.
  5. Enter all the information needed. You can refer to this article for the steps and details: Create recurring transactions in QuickBooks Online.
  6. Complete the fields and press Save template.

Just in case your recurring journal entry won't run, you can check out this article to learn how to manage it: How to handle a recurring transaction that did not run. To learn more about Projects, please refer to this article: Set up and create projects in QuickBooks Online.
