Question

How to print a prepayment receipt? We receive prepayments from customers and record it as Receive Payment (negative AR). Now QBO wouldn't print a receipt for that payment

Hi lena-elba-accoun,

Let's run some basic troubleshooting steps to isolate what causes the issue.

To start with, let's print a receipt on a private window. It is the best place to identify any browser-related issues. You can use these keyboard keys to open one:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Shift N

If it works, you can go back to a regular browser and clear its cache. A piled cache can also be the reason for some unexpected issues on the opened pages.

You can also switch to a different supported browser like  Google Chrome, Mozilla Firefox, Safari, or Microsoft Edge.

Also, when you're ready to create an invoice, you can check this link: Create Invoices.

Let me know how these steps work on your end. Keep safe!

Hi Adrian. Thanks for replying.

Unfortunately it didn't solve the problem..

Could it be that QBO doesn't not allow to print a payment receipt if there is no invoice/sales receipt? As we receive the money before the service is provided hence we do Receive Payment (not Invoice or Sales receipt at that moment).

And this is how it looks when we try to print it for the customer.

I'm here to share some details about printing payment receipts, lena-elba-accoun.

We can print the invoice date and amount of the transaction in QuickBooks Online. For payments received without invoices, this will show an empty Print preview screen.

To learn the other option in receiving customer's advance payment, you can check out my colleague's instructions on a previous thread: https://quickbooks.intuit.com/learn-support/global/manage-your-account/advance-payments-receipts-to-suppliers-from-customers/00/567372.

Additionally, I've added an article that'll help you combine transactions so your records match your real-life bank deposit: Record and Make Bank Deposits in QuickBooks Online.

In case you'll need assistance in dealing with sales transactions, don't hesitate to get back to this thread. We're always here to help you.
