Question

I am new to QBO. I have selected an invoice templete and chosen a design. However, when I print the invoice, the formatting is not as expected.

The difference between the template and the printed version might be caused by a browser issue. I'll provide some steps that can resolve common browser issues when working in QuickBooks Online. 

 

First, use an incognito/private browsing session or a different browser. Follow these keyboard shortcuts to open an incognito session: 

 

  • Ctrl Shift N  for Google Chrome
  • Ctrl Shift P  for Firefox
  • Control Option +if you're using Safari
  • Ctrl Shift P for Microsoft Edge

 

You can also use any of these browsers if you have them installed in your computer. Once done, you can go back to your account and print an invoice again. 

 

If everything looks good, proceed to deleting cache and other saved data files within your browser. Here's an article as a guide: Clear Cache And Cookies To Fix Issues When Using QuickBooks Online.

 

Aside from that, you also need to make sure that the template is set as default. This is to make sure that you're using it when printing the transaction. Here's how:

 

  1. Go to the Gear icon and select Custom form styles.
  2. Look for the template that you created.
  3. Click the drop-down list beside Edit and select Make default

Thanks for the suggestions but it's not cache related.

The template appears ok  But on the actual invoice, when I click print preview, the blue bars have gaps and are not even.  Also, the width of the description column is narrow so my text appears on 3 lines.  1 or 2 is sufficient

 

Also, when I click print preview in the templace area of QBO I get a window full of strange text (see attached)

I can provide additional information to help you fix this, @useradam1.

 

Once you click the Preview PDF, it will show the exact template of the invoice. When it shows differently, we can perform some troubleshooting steps to fix some common printing issues. Please refer to this article for the full details: Set up printing alignment for invoice, sales receipt, and all sales forms.

 

Additionally, if the width of the description columns is narrow, we can perform some adjustments to make it wider. Let me show you how: 

  1. Sign in to your QuickBooks Online account.
  2. Open the template. 
  3. Click the Content tab and click the body of the invoice. 
  4. Select the Edit Labels and Widths.
  5. In the Description section, adjust its width. 
  6. Click the Preview PDF to check the changes. 
  7. Once finished, click Done.
