Question

I have QuickBooks Essentials. How do I link invoices to my clients with related bills from vendors? Thanks.

When I send an invoice to a client for a project, it would be great if I could somehow link it to related bills that contractors/vendors send me. That way, when I'm paid, it will be easier to find the related bills of those whom I need to pay. Many thanks.

Hi there, bitsixteen.

I'm here to share information about linking bills to invoices in QuickBooks Online (QBO).

In QBO, you can generate a billable expense. This refers to an expense that you bear on behalf of your customers while carrying out work for them. You can conveniently document and monitor these billable expenses, allowing your customer to reimburse them when they receive their invoice. However, this option is only available in the Plus version of QBO.

Given that you are utilizing the Essentials version, you have two options. You can either upgrade to the Plus version or explore third-party applications that can integrate with QBO and assist you in accomplishing this task as a workaround.

If you wish to upgrade, check out this article for further guidance: Upgrade or downgrade your QuickBooks Online edition.

Once done, you can refer to this article for the detailed steps on how to manage and enter billable expenses in QBO: Enter billable expenses.

Please let me know if you have follow-up questions about this or anything else. I'm always here to assist. Take care.
