I have recorded payments via the bank accounts and now wish to add the invoices and record this as a match. How do I do this?

Keeping records accurate is essential in every business, Alvin. Allow me to guide you on how to link a payment via a bank account to an invoice.

 

Beforehand, did you receive a payment from your customer and recorded it as a bank deposit? If so, you need to link it to an invoice. This step will keep your records accurate and avoid errors when it's time to reconcile your account.

 

Prior to linking a deposit to an invoice, there are a few things you'll need to ensure:

 

  • There's an invoice for the customer.
  • You've recorded the payment through bank deposit and not through Receive Payment.
  • You haven’t entered and linked the payment to the invoice.

 

Once done, find and edit the deposit.

 

  1. Go to the Gear icon, and select Chart of accounts.
  2. Find the account you deposited the payment to and hit Account history.
  3. Choose the correct deposit. Then Edit.
  4. In the Add funds to this deposit section, find the deposit.
  5. Navigate to the Received From dropdown, and choose the customer the deposit was from.
  6. Press the Account dropdown and select Accounts Receivable.
  7. Select Save and Close.

 

Next, apply the deposit entry as a credit to the invoice.

 

  1. Go to + New.
  2. Press the Receive payment.
  3. From the Customer dropdown, choose the customer’s name. This displays all unpaid and outstanding credits for your customer.
  4. In the Payment date field, enter the day you received the payment.
  5. In the Outstanding Transactions section, click the invoice you need to mark as paid.
  6. In the Credits section, select the deposit.
  7. Click Save and close.
