We're delighted to have you here, Cypress. There are several ways to record advance payments made by your customers for their future projects in QuickBooks Online (QBO). Let me elaborate the details below.

When you receive advanced payment in QBO, you can apply it as a credit note for the customer. This way, the advance payment can be applied to future invoices for the project as they are created.

Here's how

  1. Go to the +New button.
  2. Under the Customers column, select Credit note.
  3. Enter the credit note details, such as the Customer's name, date, and amount.
  4. Once done, click Save and close.

After that, when you want to apply the advance payment recorded as a credit note in a Project's open invoices, you can click the specific credit note transaction used as the advance payment.

You can also record it as a retainer or deposit from your customers before performing any services, refer to this article for the detailed process: Record a retainer or deposit.

Additionally, you can check out this article to run the Customer Balance Detail report and check your customers' outstanding balances, and overpayments: Run a report in QuickBooks Online.

We look forward to helping you if you have other questions about handling advanced payments in QBO. As always, it'll be our pleasure to help you out again. Stay safe!
