So when a grantor makes a grant... I'm wondering if any non-profit has experience using estimates and invoice progression to track the grant.  Does this even make sense?

You can use estimates and invoices (pledges) in tracking your grants. You can also use Sales Receipt if the grantor makes a grant right away. For more details about handling grants in QuickBooks: Track funds you receive from donors in QuickBooks Online.

Create sales receipts.

Create an invoice in QuickBooks Desktop.
