Question

Trying to post a new Sales Receipt and the number is showing as Sales Receipt no.txn_3R58CUP8uiule0Ej3 rather than the next sequential number. Any ideas?

The sales receipt will follow a sequential numbering format in QuickBooks Online (QBO), Peter. I'd be glad to help you fix this.

First off, one of the possible reasons why it's showing not in order is you manually edit the transaction number or a excessive data build up. Meanwhile, if you want to correct your transaction number in sequence, we can edit that by making sure the Custom Transaction Numbers feature is on.

To check if it's turned on, I'll share a step-by-step to achieve this. Here's how:

  1. Log in to your QuickBooks Online account.
  2. Navigate to the Settings.
  3. Click Account and Settings.
  4. Select Sales.
  5. From the Sales form content, click the Pencil icon.
  6. Turn on the Custom transaction numbers.
  7. Once done, click Save.

Now, we can edit the number in sequence to make it in order. Here's how:

  1. Go to the Sales menu.
  2. Click All Sales.
  3. Filter the Type and the Date.
  4. Select a specific receipt and Click View/Edit.
  5. From there, you can edit the Sales Receipt number based on your preferences.
  6. If done, select Save and close.

However, if you turned on your Custom transactions number and edited the sales receipt number but still showed the incorrect, I highly suggest using an alternative browser. Basic troubleshooting steps to clear all the stored cache and cookies that are causing operational issues within your browser.

Please refer to the following keyboard shortcuts based on your browser type:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Shift + N

If operating an incognito resolves the issue, you can then clear your browser's saved data.
