I'm glad to help manage this transaction for you, @anij-milton.

You can create a bill to record the consolidated lunch expense in QuickBooks Online. I’m glad to show the steps:

  1. Go to the +New button.
  2. Choose Bill.
  3. Enter the other information needed.
  4. Select Save after.

Then, add a billable expense to your sister company’s invoice to settle the portion they need to pay. Before that, make sure to turn on the Billable expense tracking feature under your Account and settings to proceed. Here’s how you do it:

  1. Click the Gear icon, then select Account and settings.
  2. Go to the Expenses tab.
  3. From the Bills and expenses section, tap the Pencil icon to edit.
  4. Turn on the following:
    • Show Items table on expense and purchase forms
    • Track expenses and items by customer
    • Make expenses and items billable
  5. (Optional) Set up the following:
    • Markup rate
    • Billable expense tracking
  6. Set bill payment terms.
  7. Press Save and Done.

After the process, refer to the steps 2 and 3 instructions in this guide to enter a billable expense and how to link it to your sister company invoice: Record billable expenses in QuickBooks Online.

You can reach out to your accountant if you need further assistance with the procedure. They can give you more insights and help ensure everything is accounted for accurately.
