Dear All,

We are into software development, we have vendors who help us with consultants, and also we have few full time employees, every month each vendor sends us invoice against consultants, and we make payments against invoice, here is my question.. i am looking to record individual payments against each consultant, for example..

  • Vendor A supplied 3 consulants
  • Every month Vendor A sends invoice for 3 consultants like
  •     Consultant P -- 1000
  •   Consultant B-- 2000
  • Consultant C-- 3000
  • GST -- 1000
  • Total -- 7000

In quick books, we have added one vendor as "vendor A", so we pay 7000 and add his invoice against the vendor A in quick books, now, i also want to record at a consultant level, so that it will be easy for my accounting purpose and also i can see how much money is being spent at a consultant level

Any help will be appreciated

Thanks for trusting us with your question, Anil Charan.

Let me help you handle your concern about recording individual payments against each of your consultants in QuickBooks Online (QBO).

In your case, you'll want to create a Service Item for your consultant. Here's how:

  1. Go to Products and services.
  2. Select New.
  3. Select Service.
  4. Fill in the necessary information.
  5. Click Save and close.

For more information about managing items in QBO, kindly visit this article: Add product and service items to QuickBooks Online

Once done, create a bill for your vendor and use pay bills to record payment using the items.

To create Bill:

  1. Go to + New.
  2. Select Bill.
  3. Fill in the necessary information.
  4. When you're done, select Save and close.

To pay bills:

  1. Go to + New.
  2. Select Pay Bills.
  3. Fill in the necessary information.
  4. When you're done, select Save and close.

Feel free to check out this video tutorial about entering and paying bills in QBO: How to enter and pay bills

I also suggest consulting your accountant to help you review the accounts. You can also find an accountant by clicking on this link: Find an accountant.
