Thank you for reaching out with your query regarding stock purchases and bill creation, Naamansua.

I understand that you are looking for guidance on how to create a bill with items that will accurately reflect in your Profit and Loss (P&L) statement as a purchase.

To ensure accurate accounting in QuickBooks, it is important to properly record vendor purchases after a purchase order has been accepted and the products have been sent. This can be done by creating a bill or expense entry in QuickBooks. One way to streamline this process is by adding the purchase order as a line item, which effectively closes the original purchase order and establishes a connection to the bill or expense. To enable this functionality, it is necessary to activate the itemization feature on bills. By following these steps, you can maintain accurate records and seamlessly track your expenses.

Here's how:

  1. Navigate to Settings ⚙, then Account and Settings.
  2. Choose Expenses.
  3. In Bills and Expenses, select edit ✎.
  4. Turn the Show Items table on expense and purchase forms on.
  5. Click Save, then Done.

Once done, add the purchase order to the bill. For detailed steps, you can check out this link: Add purchase orders to expenses, bills, or cheques in QuickBooks Online.

You can also set up alerts for low or out-of-stock products in QuickBooks Online. By setting up these alerts, you can stay informed about your inventory levels and take timely action to reorder from your suppliers.
