Question

If I collapse rows in a Balance sheet and then print it I get what I see on the screen. However, if I export to excel it undoes the collapses and I get all the rows?

How do I get it to hide the rows without creating a customized report?

Hi there, docca61-gmail-co.

I'm here to share some insights about how QBO displayed the data of your financial reports.

You can click the Arrow icon before the account names to collapse the rows of your Balance Sheet report. Take note that QuickBooks Online will still populate all the rows if you export the report to an Excel file. You'll have to manually collapse the column of the exported Excel report. Here's how:

  1. Go to the Reports menu.
  2. Select Balance Sheet.
  3. Set the report date and accounting method.
  4. Click the Export icon, then choose Export to Excel and then open the downloaded file.
  5. Select the rows that you wish to collapse, then click the Data tab.
  6. Select Group, then choose Group Rows.
  7. Click the Minus sign on the left side of the rows to collapse them.
