Is there a custom report that can be created to provide balances of a Distribution Account, as of a certain date per customer.

We have an accounts payable account to track pre-paid/retainer payments from customers for future services. We need a report which shows the balance of the account, by customer, as of a certain date. Does anyone have one they can share or can provide steps to customise a report? The closest we could find was a Transaction Report (for that Distribution Account) but shows transactions and cannot seem to show a balance only by customer.

Hi alect,

 

Let me guide you on how to customise a report showing the balance of an account by customer. First thing we'll need to do is to check the account type and detail type of the account on your Chart of Accounts. If it is an asset, liability, owner's equity let's generate a Balance Sheet report however if it is an income or expense run a Profit and Loss report. You can follow the steps below on how to customise a report. 

 

  1. Go to Reports tab.
  2. Search for Balance Sheet or Profit and Loss.
  3. Select Customise button.
  4. Select the Report period.
  5. On Columns drop-down menu, select Customers.
  6. Select Filter.
  7. On Distribution Account select an account.
  8. Then select Run report.

Thanks But:

 

  • B/S report Filter does not include Distribution Account - only Customers, Supplier, Location, Class, Product/Service
  • P&L Report does have Distribution Account but give the account I am using is not a revenue or expense account (it's a payable/liability account) all of the balances shown are $0 (which is not correct)

I'm here to share additional information about the Balance Sheet and Profit & Loss report in QuickBooks Online.

 

That's exactly what is in the Balance Sheet and Profit & Loss report. If you'd like to add some changes, you'll need your report to excel from QuickBooks Online.

 

Here's how:

 

  1. Go to Reports from the left menu. 
  2. Search for Profit & Loss and Balance Sheet Report. 
  3. Click the Export icon at the top of the report. Select Export to Excel from the drop-down menu.
  4. Save the file somewhere you can easily find it, like your Downloads folder or your desktop.

Hi alect,

 

The options provided by Giovann_G and Aika are the closest report available in QuickBooks Online. To be able to get the customer's balance with distribution account on a certain date, you'll have to run two separate reports like the Transaction Report or Customer Balance detail and then, run report for an account in the Chart of accounts.

 

Here's how to run a report in the Chart of accounts:

 

  1. Click on the Accounting tab, then click on Chart of accounts.
  2. Locate the specific account on the list.
  3. Click on the drop down arrow beside Account history and then, click on Run Report.
  4. Click on the Customise button, and then add your selections under Rows/Columns and on Filters select the Distribution account.
  5. Click on Run report.

QuickBooks Online offers a variety of reports that you can check and customise under the Reports tab. If you're unable to locate the possible reports you needed, I can lodge a customer feedback in our customer feedback system in regards to the specific report you needed. This feedback is reviewed by the development for work on future releases.

Your instructions are the same as one of the ones above - and don't work.  Doesn't show customers in either columns or Filters.  So how does it resolve my problem/answer my post?

I appreciate you for going through the steps shared by my colleagues above and for sharing an update with us, @alect.

 

Allow me to chime in the provided additional steps to get the report you need. I suggest running the Transaction Detail by Account report and modifying it to show the balance of your customer. Let me show you how.

 

  1. Go to the Reports menu in your QuickBooks Online (QBO) account.
  2. Type in and enter Transaction Detail by Account report in the search field. 
  3. Adjust the date range of the report in the Report period field.
  4. Click Customise.
  5. Select the Rows/Columns section, and select Account, Customer, and Balance box. 
  6. Click the Filter section and select the Customer, Account, and Distribution box. Then filter it to a specific customer and account in their respective drop-down menu. 
  7. Select Run report to update it.
