Customising Invoices

I have been a desktop user ever since the program was available but have had to reluctantly move to the online system as desktop is not being supported going forward.

I have numerous issues with the online system but one that I am really struggling with is customising invoices. I don't mean customising the details that are shown /not shown on invoices within the template area where you can add logo's and edit what is / is not shown, I understand what can / cannot be done here but with the desktop version you could import a digital letterhead so that when you emailed invoices to customers they appeared to be on company letterheads, you could also print them out on plain paper if required.

I have spoken to the UK online support about various issues and, to be honest, they seem to know less about the system and certainly less about accounting than I do and I end up on the phone for hours, mainly on hold, while they speak to someone else trying to get answers to the problems.

I have been told by support that this is not possible in the online version which, if true, I find astounding as in the 21st century I would have thought this would be a basic element of a decent accounting software package.

Before anyone suggests that we customise invoices to use company letterheads, I understand that this a way around the problem but, come on, in the 21st century we have to print out invoices onto paper and then scan them back into a computer and email them!!?? Really!!!

PLEASE SOMEONE HELP!!!, I can't believe this can't be done!!

I know this hasn't been an easy process for you, Basta 66.

I know it would be beneficial for you and your business to have this such letterhead appears on the invoice. As of 06/29/2021, new QuickBooks Online accounts will no longer have access to the Import Styles feature inside of QuickBooks Labs. You can refer to this article for more detailed information: Import custom form styles for invoices or estimates.

As a workaround, I suggest utilizing 3rd party app. This gives you more options in customising invoices like importing digital letterheads and other tasks. These simple integrations help businesses run more smoothly by streamlining procedures.

Here's how:

  1. Sign in to your Company file.
  2. On the left navigation bar, Click Apps
  3. You can find the app you need from there or search them directly on the search bar.

You can check out these articles for more details on how to manage invoices:

You can always visit our QuickBooks Community page if you have questions about managing your account. I will be here to help. Have a great day!

I'm sorry AileneA, but no, this is not an answer,, I have looked through the apps available within Quickbooks online and there isn't one that allows you to customise invoices unless I have missed something. Rather than suggesting I look through the apps perhaps you could tell me which one does it, if there is one!!??

The edit invoices and forms within Quickbooks online is fine but it simply doesn't allow you to lay a background behind the invoice so customers see a branded company invoice, all it allows is to move / add / remove the fields that customers see and also add a tiny logo which just looks very amateurish.

It really does add to the impression that this accounting software is for basic book keeping for people who may not care what their invoices look like.

@Basta 66

You can explore a free invoicing app to integrate with QBO as a workaround.

You may need to use a connector to mirror your invoice data into QBO.
