Let's ensure you can seamlessly migrate from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). John.

In QBDT, we have the Condense Data utility, which removes old, closed transactions and their audit trails to reduce file size and improve performance. However, please note that this feature is currently only available in the US versions of QuickBooks Desktop. The UK version does not include this option, which is why you're unable to find it under the Utilities menu.

Since you're using the UK version, the only way to reduce your audit trail file size is to delete the old transactions manually. Alternatively, you can consider creating a new company file. You can export  important data such as customers, vendors, and charts of accounts from your existing file and import them into the new file. This will reduce the file size and make it easier to migrate to QBO.

Additionally, you can refer to this article to learn how features and data move from QBDT to QBO: Find out how your books will move from QuickBooks Desktop to QuickBooks Online.

Unfortunately those steps don’t work. After rebuilding the company file I still don’t see the option in utilities section to condense the file.

@704945

Where is your company located? UK or another country?

I’m based in the UK

The Condense Data utility feature is only available in QB Desktoo US version. Why do you have to condense your data? As I know, MMB will not require this as a prerequisite for converting your data to QBO UK version.
