how to email invoices in QuickBooks desktop using an alias email

Best answer by Mark_R

I appreciate you getting back to us, @myshem.

Allow me to clarify things about setting up alias email in QuickBooks Desktop (QBDT).

At this time, QuickBooks only allows you to set up your primary email address to email invoices. You can follow the steps (For webmail) provided by my colleague KlentB above to add your Gmail in QBDT.

I know how beneficial it is for you and your business to add an alias email. However, we only support primary email addresses.

I'm also adding these articles to know more about setting up webmail in QBDT:

Keep in touch if you need more help with emailing invoices, or if there's anything else I can do for you. Of course, I am always here ready to help you whenever you reach out. Have a great day!

I can help you with that, myshem.

To successfully send your invoices using an alias email (the additional email address associated with your webmail or Outlook account), you'll have to connect it first to your QuickBooks Desktop. You can follow the steps that I've listed below.

For Outlook:

  1. Select Edit from the sidebar menu.
  2. Choose Preferences.
  3. Go to the Send Forms section.
  4. From the My Preferences tab, Select Outlook and then click OK.
  5. Follow the on-screen instruction to add your alias email

For webmail:

  1. Select Edit from the sidebar menu.
  2. Choose Preferences.
  3. Go to the Send Forms section.
  4. From the My Preferences tab, click the Add button and then add the email address.
  5. Choose the Email Provider, and select OK.
  6. Once done, click OK again.

I encourage reading this guide to learn more about the process: Connect your email to QuickBooks Desktop. Once you're all set up and ready, it's time to create and send your invoices.

With QuickBooks Desktop, you can also use and customize form templates so your customers will recognize your brand.

I'm just a post away if you need more help in completing your other tasks. Have a great rest of the day.
