moving from sage accounting and payroll

HI I just want some advice here I've used quickbooks and think I'm fairly used to the system. I work for a small UK company who has used sage accounting and payroll there is no automatic transfer from this version of sage to quickbooks. We do not run our own payroll its done by a bureau.

 

Our year end is 31/12 and our accounts for 2020 have been completed. We've done our VAT return for 31/3/21

 

Is it easier to just bring in some opening balances at 31/12/20 and recognise I"m not going to get comparators for a year, if I link the bank from 1/1/20  and upload the invoices from 2020 sage only download in summary so I either need to just post in summary or split it out manually on the csv file before upload ( or can I edit the invoice in QB once I've imported the data ( when I get round to it)

 

We  haven't really used a purchase ledger so just pay as an expense rather than setting up bills to pay. at which point as long as i get the VAT correct I might as well just post the expenses from the bank feed? but that's a pain to do for all of last year.

Before we dive into the options, Sage might have a tool to help you move your accounting data easily into QuickBooks Online. Alternatively, you can use the Dataswitcher (for Sage 50) to move your data.

That said, adding the opening balances depends on how many transactions you have from last year. You might encounter difficulties in closing them out if it's too many. Though if you need help with your opening balances, you can check this article out: Enter an opening balance for an account in QuickBooks Online.

 

Importing the invoices might be a feasible option for you since you can review and categorise them accordingly. Plus, you also have the option to edit and change after importing them. 

 

This article can explain more about the import process: Import multiple invoices at once. 

 

Connecting your bank account can also be an option for you. This is also an easier way to bring in your data since you can just review and categorise those transactions. This article can help explain more about the process: Connect your bank feeds using Open Banking. 

 

It should also be noted that some banks let you download the transactions within the last 90 days. If you can't get those older transactions, then you'll want to use an Excel file.

After taking care of those invoices, you'll also want to record the VAT you already paid so they won't show up as due in QuickBooks: 

 

  1. Go to the Taxes menu.
  2. Click the VAT tab.
  3. Under the Returns section, find and select the returns you've paid.
  4. Click Record payments from the Action columns.
  5. Enter the VAT payment details.
  6. Click Save.

Open a new blank QBO account

Then you may have 2 options:

1. Prepare your data from Sage in CSV/XLS and utilize an importer tool. You can also use it to import Trial Balance as Journal Entries.

2. Purchase a 3rd party service should you need to migrate all transactions data.
