Create custom statements in QBO

I would like to be able to create custom messages at the bottom of my account statements. How can I do this? It would also be helpful to be able to save statement templates for future use.

Welcome to the Community! Statements are important for collecting accounts receivable from your customers in a timely manner. QuickBooks Online allows you to generate a statement in a few easy steps. I can explain your options for adding custom messages.

 

In QuickBooks Online, you can customize the message found within the email that's sent to the customer with the statement as an attachment. There isn't an option to add a message to the statement document itself. Here's how you can customize the email message for statements:

 

  • Navigate to the Gear icon towards the top right of the screen.
  • Select Account and Settings and then Sales.
  • In the Messages section, click on the edit (pencil) icon.
  • From the Sales form dropdown menu, pick Statement.
  • Change the message within the email message field to whatever you'd like. 
  • Once you're ready, click Save and then select Done

 

Your custom message will now be displayed in the email received by customers when sending them their statements. You can find further details in this Community article: How to set up or change customer messages

 

I can see how having the ability to add a custom message directly to the statement itself and to save statement templates would be useful to you. I recommend submitting some Feedback about this to our product development team. They're always looking for input from customers on what they want to see added or changed within the program. Here's how you can send feedback from within your QuickBooks Online company: 

 

  • Navigate to the Gear icon at the top of the screen, then click Feedback.
  • Enter your comments or product suggestions then select Next.
  • You'll be provided a list of suggested Help articles related to your comment. You can read through them or select Skip and send message.
  • From the drop-down, choose the appropriate category, then select Send message.

 

Then your ideas will be shared with the development team to help us improve the customer experience.
